  • Office Manager/Administrative Assistant

    The Office Manager/Administrative Assistant will own the day-to-day operations of the US Sports Camps office. In addition, the OM/AA will collaborate with team members across all departments to support the company’s administrative functions.     Job Overview

    The Office Manager/Administrative Assistant will own the day-to-day operations of the US Sports Camps office. In addition, the OM/AA will collaborate with team members across all departments to support the company’s administrative functions. The successful candidate is organized, people-focused, and passionate about creating positive experiences for their colleagues. This is an entry-level position, based on-site in San Rafael, CA.     Day-to-Day Responsibilities:

    • Manage office supply and kitchen inventory—ordering and restocking
    • Receive, sort, and scan mail to the appropriate departments
    • Liaise with our IT partners to ensure employee tech equipment is functioning properly
    • Assist with employee onboardings: desk set-ups, swag mailings
    • Coordinate office cleanings & suite maintenance with building staff
    • Manage email inboxes in Outlook and address employee requests appropriately
    • Assist US Sports Camps leadership with travel coordination, planning, and projects
    • In-office event coordination
    • Ad hoc office organizational projects

    Additional Responsibilities:

    • Co-lead the planning and execution of USSC’s annual CAMPS Offsite Event

    Qualifications:

    • Able to commute to and work onsite in San Rafael, CA at least 4 days per week
    • Ability to lift and move up to 40 pounds
    • Proficiency with the Microsoft Office Suite: Outlook, Teams, Excel, Word, SharePoint, PowerPoint
    • Ability to manage multiple priorities at once
    • Clear and friendly communication skills
    • Bachelor’s degree or equivalent
    • 1-2+ years’ experience performing administrative duties in an office environment a plus
    • Event planning and management experience a plus

    USSC is seeking a Sport Specialist to assist in operations and customer service initiatives for the Camp Success Team. The ideal candidate is energetic, motivated, and possesses excellent customer service, communication, interpersonal, and computer skills. They exude professionalism and positivity, are highly organized, detail-oriented, efficient, and well-versed in the Microsoft Office Suite, web applications, and Canva. Proficient verbal, written, and computer skills are a must. This person will be responsible for executing the highest quality of operational support for Camp Directors and excellent customer service to camper families in a fast-paced environment. Success in this role requires organization, resourcefulness, incredible customer service, total follow-through, and most importantly, an understanding of what has made US Sports Camps successful for the past 48 years: a full commitment to servicing our coaches and customers with an unwavering passion for youth athletic and personal development. This is a seasonal non-exempt role from March to August located at the US Sports Camps Headquarters in San Rafael, CA (remote work possible). The start date for this position will be March 18th, 2024.

    The Job:

    • Phone coverage (customer service, registrations)
    • Update web pages for existing camps, create new pages for new camps
    • Assist with the creation of marketing assets for each camp in Canva - including flyers, postcards, and social media assets
    • Update/finalize important documents for camper parents (requires extreme attention to detail)
    • Manage Sport voicemail box and email inbox
    • Create press releases and camp news items
    • Internet research (for marketing database creation)
    • Manage camp waitlists (calling/emailing parents to enroll from a waitlisted camp)
    • Manage balance due reports (calling/emailing parents to collect overdue balances)

    Qualifications:

    • At least one year of customer service or relevant experience
    • Experience with Microsoft Office (Outlook, Teams, Excel, Word, PowerPoint)
    • Strong written and verbal communication skills
    • Patience, stress tolerance, and the ability to think quickly
    • Experience working with Canva or other visual asset creation tool a plus
    • Proactive work style and proven success in self-management

    The Job:

    • Help with onboarding, training, and managing division’s operations and customer service employees
    • Handle high-level customer service issues and some general customer service phone support
    • Lead and help manage division in administrative/operational project planning and execution - Updating webpages, adding camps to registration system, executing email campaigns, inputting camp details into digital, social, and print marketing assets, creating parent Information Packets, writing press releases and sport tips, etc.
    • Lead and help manage division in execution of division’s digital, social and print marketing projects
    • Communicate frequently with Camp Directors for pre and post camp administrative and customer service support
    • Assist the Sport Manager in product ordering and shipping to camp locations
