1 Camp Set-up Checklist (1+ month out)
1. Marketing
With our marketing team handling the paid national and digital marketing initiatives, it’s equally important to spread the word locally, which is where we need to enlist your help…
You should have received your camp's marketing material. If you have not then please reach out to your soccer team point of contact and let them know.

2. Staff Uniform & Camp Supplies Order Form
✔️Action item: Click HERE to complete the form.
🚨Due Date: 1 month prior to camp. Our goal is to send camp product as soon as possible! Feel free to complete ahead of time!
3. Tipalti (Camp Payments)
✔️Action item: Click HERE to confirm your payment information is accurate
🚨Due date: Prior to any payments are submitted (suggested completion date of May 1)
4. Ankored (Background Checks)
✔️Action item: You should have received an invite to Ankored. If you did not receive an invite, please reach out to us so that we can get you added. Click HERE to watch a video on how to get you and your staff cleared for camp.

Please note that you will need to complete the requirements for yourself before being able to invite your staff to execute.

5. Check Web Information
✔️Action item: Review your camp webpage for accuracy. Parents will reference the webpage for all details leading into camp. If any updates are required, please email John, Sam or Giovanna. Listed below are the items to review:
- Onsite contact - who can parents contact at camp in case of an emergency (phone & email)?
- Website Details: Address, Parking details, Dates/Times, Schedule, Dorm details, etc.
- Extra forms: Does your university or facility require additional signed waivers? If so, send us a copy.

2 Pre-Camp Checklist (0-4 weeks out)
1. Director Portal: Login Link
✔️Action item: Use the Director Portal to log in and keep an eye on camp registrations.
2. Check Camp Product
✔️Action item: Please open all boxes as soon as they arrive and double check inventory. Soccer balls sent to you are for you to keep for your camps.
🚨 Should any parents ask you about purchased soccer balls, let them know those balls are sent directly to campers and to contact [email protected] or 1-800-645-3226 with any questions.
3. Send Pre-Camp Email
✔️Action item: – Email parents before camp to share your excitement and key details, including the exact check-in location, parking info, start and end times, what to bring, and any other important or helpful information. Also, include the daily themes or curriculum so parents and campers know what to expect and can look forward to each day.
🚨Due date: 1 week before camp and again in the days leading up to camp for any late registrations.
4. Health Forms
✔️Action item: Log into the Director Portal and check your camp roster for who needs to complete their health forms. If someone has not filled it out by the time they are checking in for camp, have them log into their account online to complete it HERE (they can do this on their phone) It is recommended that you have hard copies of the form at camp in case anyone needs to fill them out. You can find the Health Forms to print out HERE.
We send automatic reminders to parents to complete their health forms 7 days and 3 days before camp, but it’s always recommended that you follow up with those who have not completed them a day or two prior.
🚨Don’t let anyone participate without these forms completed as they protect you, your staff, USSC and the facility.

3 During Camp Checklist
1. Registration & Customer Service Questions
✔️Action item: If a parent needs any registration support, i.e., they want to switch weeks or change their registration (e.g., half-day to full-day), please have them contact us directly by phone (fastest) or email (response within 24–48 hours). If they email you, simply forward it to our customer service team at the address below, and we’ll take it from there.

2. Parent Communication
✔️Action item: Send a short email to parents with group pictures from the day to keep them in the loop and help them feel involved. Share with them what was learned that day and what they can expect the next day. When a parent asks their child what they learned at camp, it can be met with a tired and limited response, making this email a vital part of how the parent experiences the camp and gets details.
🚨Due date: At the of every day of camp.
3. Incident Reports
✔️Action item: The Incident Report Form, which you can find HERE must be submitted to USSC within 24 hours following an incident (injury, misbehavior, missing camper, serious illness, etc.). Parents should be informed immediately for all incidents, even minor injuries.

4 Post Camp Checklist
1. Parent Communication
✔️Action item: This can be similar to the daily email sent to parents. Share a recap of what was learned throughout the week along with any pictures. If you have any upcoming camps, this is a great time to encourage them to register for the next one!
🚨Due date: At the end of the last day of camp.
2. Survey
✔️Action item: In your post camp email, include a link to the post camp survey, which can be found HERE. This is a great way to learn valuable insight into your camp and how you can go from strength to strength in following years. The survey scores and review comments also serves as an important part of our marketing process as they will be included on your camp page.
🚨Due date: After the last day of camp in the post camp wrap up email.
3. Payments
✔️Action item: The following week after your last week of camp, you will receive an email from us with a breakdown of your camp numbers and payment for your approval. Once approved by you, please allow for 5-15 business days to receive payment. If you would like some camp funds prior to camp, we can provide a pre-payment of up to 50% of the funds currently in your camp bank.
