Our goal: Provide a quick, easy-to-follow checklist to help you prep before, during, and after camp. Scroll down for tips and tools to ensure your camp season is smooth, safe, and successful!

Summer is here and camps are launching next week—perfect timing for something exciting:
The Top-Rated Camp & Director Awards! Think of it as the Oscars of summer camps. Based on thousands of parent surveys, this program recognizes top-performing directors and boosts camp revenue, enrollment, and parent satisfaction.

Don’t forget: Our “Best in Class” recognition is tied to parent feedback. QR codes for surveys make this easier than ever (insert links and visuals where applicable).

✅ BEFORE CAMP

1. Best-in-Class Camp Preparation

  • Communicate with Parents
    • Early, proactive communication helps set expectations, reduce confusion, and highlight exciting activities campers may forget to mention at home! Here are some examples!
    • Use the Best-in-Class Guide. This isn’t a drill book—you’ve got that covered. It’s full of best practices to help you plan efficiently, communicate effectively, and run a top-notch camp.
  • Visit Your Director Portal
    • Your one-stop shop for all camp info is linked here. Need help logging in or want a quick tutorial? Just reach out!

  • Aim for a Best-in-Class Award.
    • Leverage US Sports Camps' resources + your sport expertise for a chance to earn top honors at the end of the summer.

2. Staff Uniforms & Camp Supplies

  • Take inventory using our Camp Supply Checklist. Need something? Let us know ASAP.

  • Uniforms & Camper Tees- We try our best to match your size requests, but may substitute based on availability—larger sizes usually work well.

  • Volleyball Purchases - see Q&A below!

  • Still need to complete the uniform form? Click here to complete.

3. Camp Safety

  • Two weeks before camp, ensure all staff complete their Ankored requirements.

  • Ankored Support is available for "Office Hours," drop-in Zoom sessions to answer any questions or troubleshoot any challenges.

    • Tuesday, June 17:   1-2pm ET (10am PT)
    • Thursday, June 19:   4-5pm ET (1pm PT)
    • Friday, June 20:     2-3pm ET (11am PT)
    • Tuesday, June 24:   1-2pm ET (10am PT)
    • Thursday, June 26:   4-5pm ET (1pm PT)
    • Friday, June 27:     2-3pm ET (11am PT)
  • Create and distribute an emergency preparedness plan.

  • Take daily attendance in the Director Portal

🏕️ DURING CAMP

1. Share the Excitement!

  • Keep parents updated via email.

  • Social media tip: Tag us! @ussportscamps

  • Take lots of photos and include them in your mid-week parent update.

2. Prevent & Report Incidents

  • Submit Incident Reports immediately for any camper or staff injuries, extreme behavioral issues, or suspected child abuse. Incident Report Form

3. Camper Complaints

  • "Wrong group", "Camp is too easy", "Camp is too hard", "I'm not having fun" etc.
  • Try to resolve the issue in real-time! If you are unable, please connect with your sport manager on how to proceed
  • Reminder: Do not promise a refund or credit to any camper for any reason! We have company policies in place to protect USSC and your camp business.

4. Improve in Real-Time

  • Running multiple sessions? Use this link to review live survey results and make quick improvements.

2 Volleyball Purchases - Make sure campers who purchased a volleyball take one home with them!

  • Pull a list of which kids purchased a volleyball and be prepared to give them a ball to take home on the last day of camp! It will be a ball that was used during the week for instruction.
  • Login to the Director Portal > CLASSES tab > select camp > select class > select “Roster-All Fields” from the EXPORT menu, then click “Run”
  • Campers with “YES” in the “Nike HyperSpike Volleyball” column have purchased a ball

3 Contact information for the Volleyball Team Members

As we head into the busiest time of the year, we want to ensure that you can reach our team with an urgent questions or concerns! Below is the contact information for everyone on the team.

* As a reminder, the majority of our team resides in the Pacific Standard Time Zone. Although many of us are early risers, we may not always answer on the first ring early in the morning. Good news! Our newest addition, Jason Reed lives in the Eastern Standard Time zone and can be available for those early urgent questions!
