2 🚢 How to Get Paid from USSC (Tipalti)


US Sports Camps utilizes Tipalti, a global payment automation service, for all Director and Operator payments.

You will receive an email invitation from Tipalti to create your account. Check your inbox for an email invitation from [email protected] to register your method of receiving payments.

If you need a new invitation sent, notify your USSC Sports Manager.

If you have already activated your USSC Tipalti Account, Click Here to Log In.

You will be able to update your information at a later date if needed. Refer to the “FAQs” on the registration process and tax forms.

3 🚢 Ensure Your Staff are Cleared to Work with Youth (Ankored)

Ankored is the 3rd party camp safety & compliance software utilized by US Sports Camps Operators. (Ankored Detailed Instructions Page // Ankored Tutorial for Camp Operators // How to Add Staff PDF)

Your USSC Sport Manager will invite you to the platform to complete your background check. This step is mandatory before we can publish and promote your camp.

Camp Operators invite their staff to the platform. Compliance requirements must be completed at least 2 weeks before camp. Directors are responsible for reviewing and approving any flags that arise from their Staff background checks or training.

The Requirements Include:

  • 2025 Rules of Conduct Form
  • Abuse Prevention Training
  • U.S. National Background Check

Some states and localities may require additional or replacement steps for staff clearance (i.e., California, Pennsylvania, Massachusetts, and Connecticut). Be sure to verify what is required in your area.

5 Overnight Camps - Important Tips & Checklist


Overnight Camp Suggested Checklist: strategies from highly successful overnight youth programs

PARTICIPANT ROOM ASSIGNMENTS

  • Using a dorm layout supplied by the facility, assign roommates the week before camp.
  • Honor roommate requests (found in the camp rosters on the Director Portal) as much as possible. Then assign roommates according to gender and age, ensuring each participant has their own bed.
  • Separate genders by floors, wings, etc.
  • Assign rooms, wings, floors by age ranges to keep older and younger kids separate
  • Place counselors in “strategic” locations to give the participants maximum supervision, near stairwells, doors, etc.
  • Camp counselors should not share rooms with participants.
  • Have counselors supervise participants of the same gender.

DORM COUNSELOR ASSIGNMENTS

  • Create a printable roster for each staff member of the participants, ages, and room numbers.
  • We recommend that Resident Camps have at least 1 staff member (Director, Assistant Director, Senior Staff Member) of age 25+ as a Dorm Supervisor.
  • Maintain a ratio of at least 1 dorm staff member for every 10 resident participants.
  • Assign each counselor a group of participants on their floor.

MAKE FINAL FACILITY ARRANGEMENTS

  • Advise your facility of the final number of resident and day participants and staff.
  • Give the facility a copy of the rooming list or a roster (without addresses) if they require it.
  • Where applicable, pick up keys for distribution at check-in.
  • Contact dining services with your week’s numbers for each meal.
  • Confirm mealtimes and alert the dining manager of all special dietary restrictions.

SUPERVISION:

The vast majority of serious camp incidents happen at overnight camps during camper "downtime" in the dorms. Having constant and proactive staff supervision is key!

  • Staff should monitor common areas of dorms and conduct frequent room checks during all camper downtime. Rotate staff to allow for breaks, but always keep a staff presence.
  • Staff should conduct dorm bed checks and compare to housing roster at designated "Lights Out" time.
  • There should always be a minimum of two staff members present when supervising dorms and conducting dorm bed checks.
  • Put a sign on staff members' doors and review them with the campers so that they all know where to go in case of an emergency.
  • Post an emergency contact sheet in the dorm hallway that includes phone numbers for the overnight staff, director, and campus athletic trainer/nurse. Make sure all staff have their phones on at night.
  • Participants and staff members are not allowed in the dorm of the opposite sex (except in the case of an emergency).
  • Participants are forbidden to leave the dorm after "lights out".

TASKS

Attendance: Take daily attendance campers and mark absences, including notes for why they missed camp. This will be used to process your Director Payment at the end of camp and serves as an ongoing record of campers present.

Review and Print Rosters:

  • Check the rosters the day before and the morning of the camp start date to review your final participant counts and information.
  • Prepare a master list of the counselors and their assigned participants, including ages and dorm rooms. Give each staff member a copy of the list. Use this list for roll calls, emergencies, dorm room checks, etc.

Export - "Roster - All Fields": Find all the info you need from camper ages, t-shirt sizes, roommate requests, and more. Carefully review severe allergies, medical conditions, medications, and other "Director Notes".

  • Go to the CLASSES tab, select your camp, select your class, select “Roster-All Fields” from the EXPORT menu, then click “Run”.
  • Review the columns listed below carefully to prepare for any kids with severe allergies, medical conditions, or medications.

Export - "All Health & Release Forms": Review camper information for any additional issues or conditions. This overlaps the fields above, but parents may have completed the prior information 5+ months ago. Health Forms are filled out closer to camp.

  • Confidential data: delete downloads and shred printouts at the end of every week.

7 Report Incidents, Injury, and Abuse


Incident Report Form

This Incident Report Form must be submitted to USSC within 24 hours following an incident (injury, misbehavior, missing camper, serious illness, etc.). Parents should be informed immediately for all incidents, even minor injuries.

Child Abuse Report Form

At US Sports Camps, we strive to create a safe environment for all. All Adult Staff Members of US Sports Camps are mandatory reporters of any known or suspected child abuse or misconduct. All reports must be made to the appropriate law enforcement authorities. US Sports Camps does not tolerate retaliation of any kind. Any Adult Staff Member or Minor Athlete who makes a good faith report will not be subject to retaliation, including harassment, as a result of making a report. The SafeSport Act also includes qualified immunity for good faith reports.

If you make a report of any known or suspected child abuse to law enforcement, please also make a report to US Sports Camps using the link above. This will assist US Sports Camps in taking any appropriate actions

8 Emergency Preparedness Plan Templates


USSC Crisis Activation Matrix: A guide to help determine the level of severity, exposure, or “category” of an issue. Contact USSC only once immediate safety and emergency concerns have been addressed; and (if applicable) after the issue has been reported to state governing bodies.

9 Health & Release Forms


Before camp starts, we recommend that Camp Directors/Operators read, save, and make copies of the forms below. Camp Directors/Operators may choose to supplement these forms with any additional forms they deem necessary for their camp.

Camper Health & Release Forms

  • If a camper arrives at camp without having completed their required Heath & Release Forms, please instruct the parent/guardian to log in to the USSC Customer Portal and complete them.
  • If they are unable to complete them via the Customer Portal, you may print the PDF version linked below and have them complete a paper copy, which you will send to USSC after camp.
  • If you provided USSC with additional forms specific to your camp that aren’t appearing in the digital PDF, campers have been instructed to print these and turn them in at camp check-in. You might want a few blank copies on hand!

13 Supervision Practices


Camper safety is our #1 priority. As the Camp Director/Operator, your job is to ensure the highest standard of supervision.

All Camps:

  • “Rule of Three”: There should always be a minimum of three people present when staff and participant are in a secluded environment. To protect youth and adults, any 1 on 1 secluded situation immediately calls for another adult to be present.
  • Staff members must be responsible for their group of campers and know where they are at all times.
  • Conduct frequent head counts and use the buddy system.
  • Carry a roster so you can quickly take attendance throughout the session.
  • Younger campers should always be with a counselor when moving between facilities (rec facilities, dorms, cafeteria, etc.).
  • Staff members under the age of 18 should never be unsupervised with a camper in a secluded area.

Overnight Camps Only:

15 Camp Rules and Regulations

(found in the Health & Release Forms signed by participants)

The Camper is now part of a community of athletes, learners, coaches, and educators that support an environment of growth, inclusion, friendship, and safety. The following rules create boundaries so that the Camper and all attendees contribute to this experience and maintain our relationships with partners and host locations.

1. Full participation in the Camp is mandatory. Non-participation for ANY reason, including illness or injury, does NOT qualify for a tuition refund. If the Camper feels ill, injured, upset, or other, it is their responsibility to inform a Camp staff member immediately.
2. USSC, Nike USA, Inc., the Camp staff, and the host facility are not responsible for lost or stolen personal belongings or money. Please leave valuables at home.
3. Cell phone usage is prohibited during Camp activities. Cell phones must be kept in the dorm room (overnight campers) or gym bag (day campers). Though allowed, cell phones are not required. Should the need arise, the Camp Director and/or staff will have a phone available for the Camper to directly contact their parent/guardian.
4. Campers are not permitted to interact with the Camp Director and/or staff through social media, email, text or phone before, during or after the Camp.
5. Campers are to remain on Camp premises at all times and with assigned staff members. Permission to leave must be obtained from the Director, provided the Camper is properly signed out by a parent or guardian.
6. Trespassing into facilities not specifically used by the Camp is forbidden. This includes but is not limited to, kitchens, cellars, elevators, offices and all locked and unlocked rooms or closets.
7. Campers will not vandalize, deface, damage, or in any way misuse any host facilities, camp property, or the property of other campers. Campers/Parents/Guardians will be charged for the cost of any repairs to dorm or other Camp or campus property.
8. Tampering with electrical wiring, lighting, fire equipment or alarms is forbidden.
9. Violence, abuse, threatening language or behavior, teasing, bullying, or harassment (sexual or otherwise) is not tolerated. Campers will act in a courteous & respectful manner towards other campers, coaches, trainers, students, working personnel, and all other persons they may encounter at the host facilities.
10. Flammables, fireworks, explosives, firearms and weapons of any kind are not permitted at camp.
11. Possession or the use of tobacco, alcoholic beverages, or drugs while at the Camp is forbidden. Camper bags, dorm rooms, bathrooms and other common places may be inspected upon check-in or at any time during the Camp to ensure no drugs, alcohol, or other improper substances are brought to camp.

OVERNIGHT PROGRAMS

1. Campers are not permitted to leave the dorm after lights out or allow non-campers to enter the dorms or Camp facilities. Once the Camper is assigned a room, the Camper is not allowed to change it without formal permission from the Director.
2. It is forbidden to enter another camper’s room during his/her absence. Boys are not allowed in girls’ rooms and girls are not allowed in boys’ rooms. CURFEW, VISITATION, AND QUIET HOURS ARE STRICTLY ENFORCED.
3. It is expected that campers will live together with mutual respect for one another and their property.

If you or the Camper observe any suspicious or inappropriate behaviors and/or policy violations on the part of Camp staff or campers, including staff-to-camper, staff-to-staff, and camper-to-camper, please call 1-800-645-3226 or email [email protected]. An official Incident Report can be completed at https://www.ussportscamps.com/report-abuse reports.

IN THE EVENT OF A VIOLATION OF CAMP RULES OR REGULATIONS, PARENTS/GUARDIANS WILL BE IMMEDIATELY NOTIFIED AND REQUIRED TO PICK UP AND/OR ARRANGE FOR TRANSPORTATION HOME FOR THE CAMPER(S) INVOLVED. NO REFUNDS WILL BE PROVIDED.

16 Check-In & Orientation Guidelines


A smooth Check-In and Orientation sets the tone for the entire camp week and plays a huge role in shaping the parents' and campers' perceptions of your camp. Here are a few quick tips to help you execute a great Check-In and Orientation.

Check-In Preparation

  • Meet with your staff 1 hour before Check-In to prepare.
  • Have the "on-site contact" cell phone you provided to USSC turned on and available at Check-In and all times during camp.
  • Post yard signs and banners strategically to help direct families to the check-in area. Add other branding materials and signage at the check-in tables and/or tent if available.
  • Wear name tags so you are easily identifiable and dress professionally in your staff uniform.
  • Have name tags ready to go for the campers and create an alphabetized check-in system that makes drop-off and pick-up quick and easy for parents. Avoid long lines by having an adequate number of staff working your registration table. Spread out with multiple tables so to avoid crowded room or lines
  • Create a Check-in Flyer for printed distribution or parents can take a picture on their phone

Check-In

  • Spending a little money on snacks and/or drinks (i.e. donuts and juice) can go a long way in welcoming campers and their families.
  • Be organized, approachable, and energetic. Welcome every camper, parent, and friend with a smile.
  • A coach or athletic trainer should be available to talk to parents with concerns about food allergies or medical conditions.
  • All Campers must have completed health and release forms prior to camp starting. View completed forms in the Director Portal. If a camper arrives without their forms complete, follow the instructions listed in the "Important Camp Forms" section above.
  • After each participant checks in, they should head to the rec facility for skill evaluation.

17 Check-Out & Awards Ceremony Guidelines


Day Camp Check-Out

  • Verify the pick-up person is an authorized contact (list found in Health & Safety Forms).

    • At Check-In, explain to families how the sign-out process will work!
    • You can ask each pick-up person for the last two digits of the camper's Confirmation Number. This is found in the Director Portal when you click on a camper's name.
  • Camp Administrator should be in charge of noting when each child checks out.

Overnight Camp Check-Out

  • Overnight campers and their parents should be escorted by staff back to the dorms to check out and return their room keys and meals cards.
  • Director or Camp Administrator should turn in all keys & meal cards to facility immediately (if applicable).

Awards Ceremony

  • Encourage parents to attend.
  • Ensure staff are wearing appropriate staff uniforms.
  • Place your banners in strategic positions to make your camp look professional.
  • Have a table with all the prizes, awards, giveaways, certificates, etc.
  • Introduce yourself and your staff.
    Thank staff and participants for doing a great job and for their hard work.
  • Thank parents/family for supporting their participant’s passion for your sport.
  • Discuss funny moments, camp highlights, sport-related achievements.
  • Announce and hand out awards/prizes.
  • Have each counselor announce and hand out evaluations and camp certificates.
  • Encourage participants to continue practicing and playing.
  • Review check-out process for day participants and overnight participants (dorms).
  • Goodbye! Encourage participants to return to camp next year!

18 Staff Hiring & Training Tips


Your camp's best asset is the STAFF! Your coaches are the face of camp and can make or break a camper's experience and a parent's perception of the quality and safety of your camp. Below are helpful guidelines to think about when interviewing, hiring, and training your staff.

Positive Coaching Alliance

US Sports Camps has partnered with PCA to offer their 1-hour, self-paced, online training for camp staff. “Double-Goal Coach: Coaching for Winning and Life Lessons” will elevate the impact your staff have on participants. Access to a great role model can be a transformational event for kids who play sports.

Visit PCA and use the code USSportsNikeCamps23 to access free PCA Training. Let your USSC liaison know if you are requiring this for all your staff and we can put an image of certification on your camp page.

Logistics:

  • Hire enough staff to maintain a low camper to coach ratio (respective to your sport)
  • All coaches should be at least 18 years old. Staff members younger than 18 may work as junior counselors and assist coaches with smaller on-site details.

Finding Staff Candidates:

What to look for:

  • Passion – A genuine love for the game and for kids
  • Professionalism – Prompt, proactive, well-spoken
  • Energy – Campers feed off of this, coaches need to bring it!
  • Experience – Familiarity and success in coaching/teaching
  • Positive – Campers are here to improve and have fun, coaches should be encouraging

Interviewing Process:

  • All coaches should be interviewed by the camp director.
  • Include an on-court (or field, pool, etc.) and in-person interview. The coach should be enthusiastic about camp. It's best to work with people that want to work with us!

SPORT PROGRAM TRAINING:
We recommend that the sport program training include instructional demonstrations of all the camp drills and games and proper techniques. We also recommend that staff are trained to:

  • Understand the importance of "safety first" in all activities.
  • Understand how to teach group lessons in a fun, positive, productive and professional manner.
  • Understand and acknowledge all duties & responsibilities when working with participants on sport instruction.

GENERAL CAMP TRAINING:
The following is a list of non-sport subjects that we suggest you review with your staff (feel free to add as you deem appropriate based on your experience). Note that while the training methods below are recommended, the participants’ safety is of utmost importance. There’s increasing sensitivity and many compelling reasons to remind staff what is appropriate staff-participant behavior.

  • Absolutely no written or photographic communication with participants, including email, phone, text, social media, etc., before, during, or after camp.
  • Background information on US Sports Camps/Nike Sports Camps
  • Background & philosophy of Camp Director/Operator and your specific camp
  • Review all information in Abuse Prevention Training – including how to recognize and Report Child Abuse and Misconduct
  • Injury prevention, recognition & treatment (heat, concussion, etc.)
  • Best practices for reporting behavioral issues, injuries, or other incidents
  • Daily camp schedule in detail
  • Check-in and check-out procedures
  • Provide Camp Director/Operator cell # and emergency # for staff to save in their cell phones
  • Job of camp director/operator
  • Individual staff member responsibilities, assignments, rules, time off, etc.
  • Strategies on how to provide the best experience to parents.
  • Strategies on how to provide the best experience for participants (groupings, varying ability levels, discipline, etc.)
  • Inclement weather plan (for outdoor sports programs)
  • Off-campus activity procedures (if applicable)
  • Tour the facility to familiarize the staff and point out the boundaries for participants.
  • Supervision of participants: “Rule of Three," never any 1:1 adult-participant isolation
  • Staff professionalism: camp uniforms, cell phone usage, language and attitude
  • Staff should not drive participants or give rides.

Incentives:

  • Incentivize your staff to keep them on top of their game each and every day of camp. Think about ways to reward them, possibly financially, based on their personal performance.

19 Adding Personal Touch to Your Camp


Our most successful camps have one common denominator: coaches who go the extra mile to make camp fun and inclusive for every child and parent. Here are some tips and suggestions we have compiled over the years from some of our highest-reviewed coaches to help you personalize the camp experience.

Celebrate Birthdays:
Birthdays are a highlight for kids and should be celebrated! Check your roster before camp starts and acknowledge anyone who has a birthday during the week. Start their birthday morning off with a Happy Birthday song from the staff and campers, hand them a mini ball or other prize signed by your coaches, and make the effort to give him/her extra high-fives and words of praise throughout the day. Make that camper feel special.

Invest Time in Player Evaluations & Awards:

Player evaluations have moved from a numeric grading scale to a radiantly positive word scale so that no camper goes home disheartened.
