USSC Company Policies

US Sports Camps is committed to making camps a safe environment and positive experience for all campers and staff. Please review our general company policies listed below.

CANCELLATION POLICY*

If you need to cancel for any reason up until 24 hours prior to camp check-in, you will receive a camp credit voucher for tuition fees paid that is good through the following year for any sport and is transferable to any immediate family member. Participants who DO NOT attend their registered session (no-shows for any reason) or who do not contact USSC to cancel at least 24 hours prior to camp check-in will not receive a voucher or refund. Cash refunds are given only if Cancellation Protection was purchased at the time of registration and the cancellation is made before your balance due date (see terms below).

If USSC cancels your child's camp due to COVID-related facility closures, government mandates or other circumstances, you will automatically be issued a credit voucher for your tuition fees paid which can be applied to any US Sports Camp through the following year and used by any immediate family member.

These policies are in place to account for camp fees associated with each registration that is made in advance of the program. Camper waives any and all damages that may otherwise arise out of any camp cancellation and agrees to accept as liquidated damages said registration fees.

*Please Note: Nike Junior Golf Camps, Nike Adult Golf Camps, Nike College Showcase Golf Camps, Camp Localhost, Seattle University, Stanford Camps, Bill Pilat Goalie School, St Andrews Golf Camp, Premier Golf Academy Camps, Peak Performance Swim Camps, US Baseball/Softball Academy, and NBC Camps fall under a different policy. Cancellation Protection

US Sports Camps offers our camp families Cancellation Protection for $100 per session, due at the time of registration. Cancellation Protection entitles you to a full refund of your camp tuition fees paid to date if you cancel for any reason before your final payment date (the first day of the month prior to the month of your camp start date. i.e. final pay date is May 1st if your camp date begins in the month of June). Please note: $100 Cancellation Protection and Registration Fee are non-refundable.

With Cancellation Protection, if you cancel after your final payment due date and at least 24 hours prior to camp check-in, you will receive a camp credit voucher good through the following year that is transferable to any immediate family member and may be used for any sport.

*Cancellation Protection is not available for any Stanford Camp. Please call for details.

CAMP TUITION PAYMENTS

Full payment of camp fees must be completed by the first day of the month before camp. For example:

  • June camps: final payment is due by May 1
  • July camps: final payment is due by June 1
  • August camps: final payment is due by July 1

Any camper with an unpaid balance 10 days before camp will forfeit all camp fees paid to date and be removed from the camp.

Your confirmation email shows your balance due and balance due date. Final payments can be made through the US Sports Camps Customer Portal or by phone at 1-800-645-3226.

HEALTH, SAFETY, AND LIABILITY

By registering for a youth camp, the parent/guardian of the youth participant agrees to the terms included in the USSC Health & Release Forms (Youth). By registering for an adult camp, the participant agrees to the terms included in the USSC Health and Release Forms (Adult). The parents/guardian of youth participants and adult participants understand it is their responsibility to complete the required forms prior to camp.

In case of a medical emergency, campers will be transported to the nearest hospital. Drugs, alcoholic beverages, and cigarettes are strictly forbidden and constitute, along with general misconduct, may be grounds for immediate dismissal from camp without refund or voucher. Camper bags may be inspected upon check-in or at any time during camp to ensure no drugs, alcohol or other improper substances are brought to camp. US Sports Camps, the Camp Director and staff, and the host facility are NOT responsible for lost or stolen articles or money.

LOST ROOM KEY/MEAL CARDS & PROPERTY DAMAGE

Unless otherwise specified on your camp webpage, we do not require a room key or meal card deposit. However, if a camper does not return their room key or meal card on the last day of camp, the parent/guardian will be responsible for all replacement charges from the host facility. In addition, if the camper causes any property damage to the host facility, the parent/guardian will be responsible for all repair expenses billed to US Sports Camps by the host facility. US Sports Camps will charge the camper's billing credit card on file for all costs due.

REPORT CHILD ABUSE

At US Sports Camps we strive to create a safe environment for all. Individuals (adults and minors) can report any suspected incident of abuse or sexual misconduct at https://www.ussportscamps.com/report-abuse.

ANTI-DISCRIMINATION

USSC complies with all applicable federal, state, and local discrimination laws. USSC strictly prohibits and does not tolerate discrimination against campers because of race, color, religion, creed, national origin or ancestry, ethnicity, sex, gender identity or expression, age, physical or mental disability, citizenship, past, current, or prospective service in the uniformed services, genetic information, familial status, or any other characteristic protected under applicable federal, state, or local law. All USSC employees, applicants, Camp Directors, staff, coaches and campers are prohibited from engaging in discrimination.

GENDER DIVERSITY AND INCLUSION

We Promote Gender Diversity and Inclusion. USSC believes that everyone attending its camps deserves to feel safe and respected. In furtherance of this belief, where applicable law and host facility policy allows, USSC will ask all Directors and staff to:

  • Refer to campers by their desired names and pronouns.
  • Apply gender-neutral dress codes, where applicable.
  • Offer the option for private changing spaces and shower schedules where possible.
  • Permit and encourage campers to use the restroom and/or locker room that aligns with their gender identity or expression.
  • Prohibit public nudity at any USSC camp or facility.
  • Allow campers to play and practice with the team that aligns with their gender identity or expression.
  • Allow campers to choose the housing option that aligns with their gender identity or expression at overnight camps, where applicable law and host facility policy allows.
  • Respect the privacy of campers by declining to comment or share information about the gender identity or expression of any camper.

WAITLISTED CAMPS

Due to the high demand for our camps, many sell out. Once we have reached capacity, campers may join our free waitlist to be notified if spaces become available at a later date. Up until the week before camp, our procedure for adding campers from the waitlist is to notify families by email and/or phone in order of their position on the waitlist. Campers will then be given a specified amount of time to reply and claim their spot. If we have not heard back within the stated time period, we will move on to the next waitlisted camper. If a space becomes available within 5 business days or less before camp, we notify all waitlisted campers at the same time via email to register on a first-come, first-serve basis.

COMMUNICATION WITH CAMPERS DURING CAMP

Campers are permitted to call their family and friends during their breaks and after hours, unless otherwise specified by the Camp Director. We do not allow the use of cell phones during training sessions. If you need to reach your child for an urgent matter, please call the on-site Director/Staff contact’s phone number provided with your pre-camp reminder email. Our on-site staff will put you in touch with your camper. If the matter is not urgent, please leave a message and someone will be in touch.

If campers have any concerns such as grouping, homesickness, illness or injury, etc., please ask them to talk to their on-site camp coach or Camp Director directly. We are committed to making this a great experience for your child and want to deal with all issues immediately, which is easiest and most effective if done in real-time, on-site. If need be, parents may call the camp phone number and speak to a member of our staff as well.

CAMP CODE OF CONDUCT

Our primary objective is to create positive change in the campers who attend our camps. Moreover, we want to ensure the safety of our campers at all times and provide a healthy, learning atmosphere. To achieve these objectives, we ask that campers conduct themselves in a positive and responsible manner. With that in mind, we created a Positive Code of Conduct and ask that all campers do their best to adhere to it:

  • To think positive and act positive throughout your stay with us.

  • To behave with proper etiquette at the facility at all times.

  • To treat fellow campers and coaches with the respect, consideration and kindness they deserve.

  • To be on time for all camp functions.

  • To report any personal problems or concerns to a staff member immediately.

  • To report any sign of illness or injury to a staff member immediately. To stay with the assigned staff member (i.e. chaperone or coach) at all times.

  • To stay in assigned groups at all camp functions.

  • To stay within the camp residence at all times unless given permission by a staff member.

  • To observe all curfew rules as outlined by the camp staff.

  • To respect fellow campers and camp staff by limiting cell phone use during camp functions. No phone calls are allowed after the evening Lights Out and before the morning Wake-Up Call.

Any serious violation of camp regulations, such as willful damage to the facility or lodging property and/or behavior deemed unsuitable and detrimental to the best interest of the camp, will be grounds for immediate dismissal from camp without refund or voucher.
